Who this notice covers

This notice applies to the public website operated for International Society of Medical Writers and Editors, a Canadian not-for-profit corporation. It does not replace the privacy notices of LinkedIn, Zeffy, Thinkific, a webinar platform, an email provider, or any other website reached through an external link.

ISMWE should identify its approved privacy contact and complete a privacy-law review before this notice becomes effective.

Information associated with this website

The first release does not include an ISMWE account, member portal, payment form, course database, or server-side contact-message database. Depending on final hosting settings, limited technical records may be created, such as IP address, browser or device information, requested pages, timestamps, security events, and error logs.

If you use the contact form, the website prepares an email in your own email application. ISMWE receives only the information you choose to send after reviewing that email.

How information may be used

  • Respond to an enquiry or participation request.
  • Operate, secure, troubleshoot, and improve the public website.
  • Administer a relationship you request, such as membership, event registration, learning, or collaboration.
  • Meet corporate, financial, legal, safety, and record-keeping obligations.
  • Send programme communications only where permitted and with an appropriate way to opt out.

External services

Membership, renewals, supporter contributions, event registration, hosted learning, community participation, video meetings, and email may be handled by external providers. When you follow an external link, the provider receives information directly under its own terms and privacy practices.

ISMWE should complete provider due diligence, configure only necessary fields, define access permissions, and publish the applicable provider links before launch.

Cookies, analytics, and logs

This release does not intentionally load advertising trackers or a public analytics product. The hosting platform and security infrastructure may still use essential technologies or generate technical logs needed to deliver and protect the site.

If analytics, embedded media, or non-essential cookies are added later, this notice and any required consent controls must be updated before activation.

Retention, access, and security

ISMWE should keep personal information only as long as reasonably needed for the stated purpose and applicable organizational obligations, then securely delete or anonymize it. Exact retention schedules remain to be approved.

Reasonable safeguards reduce risk but no website or email transmission can be guaranteed completely secure. Do not submit patient information, payment-card details, confidential manuscripts, unpublished results, or other sensitive information through the public contact route.

Your questions and choices

You may ask about access, correction, withdrawal of consent where applicable, or another privacy concern through the contact page. ISMWE must verify an appropriate request before disclosing or changing personal information.

Because services may operate outside your province or country, information handled by an external provider may be processed in other jurisdictions and be subject to their laws.
